Commercial HVAC Maintenance Agreements in Michigan: What Yours Should Include
A preventive maintenance agreement is a written plan for keeping a building's heating, cooling and ventilation equipment running. Air Handlers Service Group has serviced commercial and industrial HVAC in Southeast Michigan since 1985. Here is what a good agreement should include and what to ask before you sign one.
What the agreement should include
1. A full equipment list
The agreement should name every unit it covers: rooftop units, boilers, chillers, make-up air units, unit heaters, exhaust fans and controls. If a unit is not listed, assume it is not covered.
2. A set visit schedule
Most commercial equipment needs service at least twice a year. In Michigan that means a spring cooling visit and a fall heating visit. Buildings with chillers, process cooling or heavy use may need more.
3. A written task list for each visit
- Filter changes and belt inspection
- Coil cleaning and condensate drain checks
- Refrigerant circuit and compressor checks
- Boiler and burner inspection and safety tests
- Economizer, thermostat and building automation checks
4. A report after every visit
You should get a record of what was checked, what was found and what needs attention. That record supports budgets and replacement planning.
5. Clear terms for repairs and emergencies
Ask how repairs found during a visit are quoted and approved, and how emergency calls are handled for agreement customers.
Why it matters in Michigan
Michigan buildings go from humid summers to sub-zero winters. Rooftop units run hard from June to September and boilers carry the load from November to March. Finding a worn belt, dirty coil or failing ignitor on a planned visit is far less disruptive than an emergency call during a cold snap.
Questions to ask any contractor
- Which equipment types do your technicians service in-house?
- Do you work on boilers, chillers and controls, or only rooftop units?
- What does a visit report look like?
- How do you handle emergency calls?
- How long have you served Southeast Michigan?
